Support the current room session

Show the people and timing that matter, then offer the session’s meeting and service actions.

Before you begin

  • Use an In-room device bound to one resource.
  • Confirm that the current session, attendee data and any event link reach this device.
  • Verify that each enabled service request reaches its intended automation or operator.

Product design guide: these are the required Signage workflows, not a claim that every step exists in the reviewed overview branch. Check the rollout guide and your installed build before use.

Step by step

  1. Match the current session

Show this room’s meeting title, remaining time and attendees, with a concise next-session cue. Attendees are not just the booker’s username. Do not expose other rooms’ sessions on this screen.

  2. Apply the gym rules when relevant

For a gym resource, show employees’ first and last names for the current one-hour slot, with at most five names. Keep company names off. No visitors, QR or lock controls belong on this gym display.

  3. Request a service

Offer the room’s configured service actions. Reuse existing automations where they actually fire; verify that a test request arrives and receives the expected acknowledgement. Do not display a successful request merely because a button was tapped.

  4. Join from the event link

Offer Teams or Google Meet join only when the calendar event includes the corresponding meeting link. Join the current room’s event; do not invent a meeting link or confuse joining with checking in to a Spaze booking.

You’re ready when

The display shows the right session and people, and each offered action connects to a verified service or meeting destination.

Troubleshooting

Only the booking username is shown
Check the attendee data source and mapping. The target needs attendee identities; the reviewed schedule view alone does not contain the required attendee or gym-name fields.
The join action is absent
Check whether this event actually has a Teams or Google Meet link and whether it was ingested and passed to the current session. No event link means no join action.
A service request does nothing
Check the configured automation and its delivery result. Do not keep an action visible as working until its end-to-end request route has been verified.

Common questions

Can this display unlock the door?
No. In-room has no door lock, visitor QR or ads. Those exclusions also apply to the gym session display.
Does Signage write changes back to Outlook?
No. Graph write-back remains booking-side work, outside Signage’s display and event-link joining scope.
